DUTIES AND RESPONSIBILITIES

May include, but are not limited to, the following:

  • Provides administrative and assistance for the PVC Unit Manager and operations.
  • Maintains Workday timekeeping system for PVC department.  Adjusts schedules, inputs and tracks vacation requests and absences, and tracks overtime.  
  • Coordinates PVC shipments with lab, loaders, and PVC customer service.
  • Prepares Bills of Lading on all shipments of railcars and all trucks on site.
  • Set up and maintains records of shipments to keep information on file so that a monthly report of materials loaded is presented to Production Department and Accounting.
  • Maintains files on Bills of Lading, inventory daily shipments, hopper car checklists, shipping receipts, shipping orders and miscellaneous paperwork for site.
  • Keeps track of accumulation of scrap, schedule pick-up date when required and send out monthly & yearly to date totals to various departments.
  • Prepares daily shipment report, storage yard inventory and materials loaded daily on computer to provide department and other personnel with information on shipments.
  • Assist Logistics team and monitor movement of "shop cars" from plant site.
  • Order supplies through SAP as directed by Supply & Distribution Supervisor.
  • Orders chemicals and gasses as needed for PVC unit, Lab, I&E Analyzer group and cooling tower.
  • Requisitions office supplies and coordinates repair of office machines for the PVC Unit.
  • Create and maintains record of all purchase requisitions for department.
  • Maintains time sheets and related reports for the PVC Department and Lab salaried and wage employees.
  • Processes contractor invoices for PVC area loaders, operators, and lab techs.
  • Processes purchasing requests, VIM, and work orders for capital projects in PVC area.
  • Performs administrative detail work on various projects or programs.
  • Maintains appropriate files and records, answer telephone and in-person inquiries.
  • Prepares and distributes Plant Efficiency Reports and other routine progress reports.
  • Prepares forms, memos, announcements, documents, manuals, letters and other departmental correspondence.
  • Ship per direction of the Transportation Supervisor other truck shipments from site.
  • Prepares and forwards Bills of Lading and Certificates of Analysis to customers and maintain PVC shipments.
  • Track raw material deliveries and report receipts on a monthly basis.
  • Assist in special committee assignments as needed.
  • Prepare monthly report consisting of total shipments, "in-plant" inventory, and raw material receipts.
  • Assist with record keeping for ISO 9001, NSF, & LELAP auditing.
  • This position may be required to drive company vehicles from time to time.

EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • High School graduate plus one to two years additional business education
  • Five to Seven years of comparable office experience
  • Proficiency with Windows based software (specifically Outlook, Excel, Word and PowerPoint) required. Experience with SAP preferred.

While performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear.  The employee is occasionally required to stoop, kneel, or crouch.  Employee may be required to use stairs/elevators and have the ability to occasionally work at elevated heights.  The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Additionally, this position must take general decisions requiring judgement and perform activities requiring sustained concentration.

WORK ENVIRONMENT

The noise level in the work environment is usually moderate as normally based in an office.  Some of the work may be required in the operating units which can require usage of required PPE including safety glasses, hearing protection, FRC (flame retardant clothing) etc.  May also result in exposure to outside elements and may require usage of stairs and elevators.  Travel including air travel or auto travel may occasionally be required.
