HR Administrative Assistant
Job Description
The Human Resources Administrative Assistant role will be responsible for overall administrative support the VP of HR and members of the HR department including but not limited to HR Business Partner Team and Talent Management. This position will need to display a high degree of initiative and the ability to anticipate needs that are critical.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provide overall administrative support to members of the HRBP team and Talent Management teams.
- Prepare employee reports and assist with PowerPoint presentations.
- Maintain HR management’s calendars, travel arrangements and expense reports.
- Schedule complex meetings and handle all meeting logistics. This includes securing conference rooms, ensuring that conference and video calls (including international) are ready, preparing meeting materials, coordinating meal delivery, etc.
- Assist with timely research and preparation of meeting materials to include PowerPoint presentations and adhoc system reports.
- Prepare and route employee action forms for required approvals.
- Assist with key employee events (social activities, community outreach, on-site company events, holiday events).
- Provide departmental support for various projects and corporate initiatives; arrange team meetings and events.
- Maintain current and accurate filing of HR records and data entry into HRIS.
- Comply with all Company policies and procedures.
- Fully supports Company goals of continuous improvement and operational excellence at strategic and tactical levels including reviewing area of responsibility for improvement opportunities to initiate projects or communicate ideas to management as well as active participation on project teams.
- Any additional responsibilities or tasks as assigned.
EDUCATION and/or EXPERIENCE
- High School Diploma plus five years related experience in a corporate setting ) or a Bachelors degree plus one years of related experience is required.
- Experience supporting a senior leader in a fast paced environment.
- Polished, professional demeanor with ability to interact with all levels of employees, including senior leadership.
- Must demonstrate strong verbal, written communication skills.
- Solid proficiency in Word, Excel, PowerPoint and HRIS.
- Requires strong time management, organizational and excellent interpersonal skills.
- Ability to work under specific deadlines and handle confidential information.
This role currently provides the ability to work up to two days remote consistent with the Company's Flexible Work Policy.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stoop, kneel, or crouch. The employee may regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
WORK ENVIRONMENT
The noise level in the work environment is usually moderate as normally based in an office. Some of the work may be required in the operating units which can require usage of required PPE including safety glasses, hearing protection, etc. May also result in exposure to outside elements and may require usage of stairs and elevators. Minimal travel may be required.
